Welcome Letters

Hello SCAW & Summer Launch families,

We are excited that your child will be attending SCAW this year and wanted to send along some info to make the first day of camp an easy one!

Location:
This summer SCAW is at Hatch Elementary School, located at 1000 Ridgeland Ave. The main SCAW door will be Door 6S off of Ridgeland Ave.

How camp works:
Between 8:00am-11:50am, campers attend art classes in different classrooms throughout the first and second floors of Hatch School.

From 12:00pm-3:00 pm, campers signed up for day camp will eat lunch and participate in themed games and activities.

From 3:00pm-6:00pm campers who are signed up for our extended program will continue games and activities until they are picked up.

Before to the first day of camp:
Please make sure you have filled out your child’s emergency form on Activity Messenger; You should be receiving emails to do so. If this form is not 100% completed before June 12th, your child will not be allowed to attend camp!

On the first day of camp:
For July 8th drop-off only, we ask that you use door 6S (located on the south east side of the school facing the playground). Doors will open no earlier than 7:40am. We will be waiting in the auditorium to make sure that we have all of your child’s emergency contact information. If your child’s emergency forms are not filled out, they will not be allowed into camp. Your child will also receive their camp schedule during this time. Once your camper’s contact information is verified and they receive their schedule, camp staff will escort them to their class. Parents will not be allowed to accompany their children to class once outside the lunchroom, then will exit through door 6S.

Multiple camps will be using Hatch school and Taylor Park this summer. We will do everything we can to make sure drop off goes smoothly and quickly, but we are asking for patience with camp staff, especially on the first day. We recommend arriving earlier if you will be pressed for time, have questions for camp staff, or have a child that might need extra time saying goodbye.

8/9am Drop-off July 8th-August 2nd:
We will be doing “drive through drop-off” starting on the second day of camp (June 11th) through the final day of camp (July 5th) from 7:50 am-8:05 am and again from 8:50-9:05am Between those times, parents can pull onto Ridgeland Ave facing North. Once you are in front of Hatch, SCAW staff will let campers out of the car and into the building through door 6S. This allows parents or guardians to drop off the kids quickly without having to find parking. It is highly recommended that you use this option. Please be considerate of the neighbors living around Hatch.

During Drive through drop off do not:
    • Use drive through drop off if your child is not 100% to get out of the car – If they are not, you will be asked to park elsewhere.
    • Put your car in “park” at any point – This is so we can make drop off fast for everyone!
    • Get out of your car at any time – staff will help your kids open the door, get out of the car, and grab any backpacks, water bottles, etc.
    •  Let your child out before a counselor is at your door – This helps us make sure everyone gets into camp safely!
    •  Park on Ridgeland facing South or let your child out across the street from Hatch – This is to avoid anyone getting hit by a car and to avoid any delays.
    • Park in the parking lots on the corner of Greenfield/Harvey or off of Harvey – This is to avoid any accidents & avoid any delaying the drop-off line
    •  Use drop off if you need to talk to camp staff during drop off. – If needed, please park and walk them up to camp.
Walking, biking or Parking starting June 13th:
If you would prefer to drive and park, walk, or bike to Hatch, that is completely fine! Just meet us with your child at Door 6S off of Harvey. For those who choose to park, we are asking that you DO NOT park on Ridgeland Ave before 9:05 am OR use the Greenfield/Harvey parking lots. Please park North of Greenfield, on/South of Berkshire, or on Harvey Ave. Please be considerate of the residents who live around Hatch.

Other drop-off info:
    • All SCAW drop offs starting June 11th will door 6S off of Harvey St.
    • Drop-off’s after 9:05am are welcome to park wherever convenient and walk your child to door 5s.
    • We will be using digital check in this summer. Each camper will have a barcode on the back of their name tag that allows camp staff to quickly check them into camp each day!
    • Campers will not be allowed into the building before 7:45. SCAW staff are not responsible for children before 7:45.
Pickup before 3:00 or after 3:15pm
    • We will not release children to anyone that is not on their authorized pickup list. Everyone picking up MUST SHOW ID. NO EXCEPTIONS.
    • If your child leaves at any point before 11:50 or after 3:15, please sign them out with our staff at the front desk off inside door 6S. Once your ID is verified, our staff will walk them to you at the front desk. Please exit through the Door 6S.
    • Staff will not send children out to vehicles.
    • Adding only people you are confident will regularly pick up your child to the authorized pickup list on Amelia AND adding profile pictures for all authorized pickups as well as your child will speed up the pickup process.
    • Children 10 years old or older can self sign out with parent permission. Please email us for more details.
    • Please allow extra time for pickup the first few days. Staff will be working diligently to learn authorized contacts, verify ID’s, and ensure everyone goes home with the correct people. However, this process might take longer the first week of camp until staff become more familiar with parents/guardians.
    • If you are in a rush or you have any questions for staff please arrive early.

Campers can earn points for winning games as well displaying positive behavior, and lose points for negative behavior.
    • Every Friday, day camp will have theme days. All games and activities will be based around this theme.
    • Camp groups might walk to other nearby parks/fields.

THANKS AND HAPPY SUMMER!

Hi Parents, Guardians, and Campers,

Welcome to Teen Scene! My name is Nana-Yaa Sarpey, but you can call me Nana. I will be your Site Supervisor this summer. I am entering my sophomore year of college in the fall and will transfer to Michigan State University as a History Education major. My goal is to become a college professor. If you have any tips and tricks you’d like to give me, I’ll take it! I’ve worked with the Park District since my junior year of high school and have adored every part of it (even the stressful bits…it’s hard to work with kids!) On my team, are Lukash Tabatchouk and EJ Locke. I’ve worked with them both and am glad to say, we’re excited to cultivate a new and exciting summer camp experience for your camper.

Be sure to read this email in its entirety.

This week our theme is “Golf! and the Great Outdoors!” as our field trips are to the Field Museum and Top Golf Schaumburg. Attached is the schedule for this week, which includes times, activities, things to bring, and other notes and such. This email includes the technical things to keep our camp running!

Sign-in/Drop-off:

    • Monday: Campers should be dropped off at the front door entrance. If driving to Field Center, enter through the alleyway behind Field Park (off Berkshire St.). It is a one-way alley, but it makes drop-off and pick-up more convenient for you.
    • I ask that you come up with your camper so we can see your face.
    • Tuesday-Friday, Drive-Through Drop-Off: This will take place Tuesday-Friday. Drive into Field’s alley and teens can walk up to the door.
    • If your child is running late or is going to be absent from camp, please notify us at your earliest convenience.

Sign-out/Pick-up:

    • Camp ends at 3:00 PM. Let us know if you’ll be late for any reason, we’ll make sure to keep your camper company until then.
    • Campers, 12 and older, are allowed to check themselves out. Self-checkout is anywhere from 2:30 PM–3:00PM. Please send me an email with permission for your child to check themselves out if that’s something you and your child would like.
    • Non-Negotiable: A photo ID is required for ANYONE picking up your child, and they must be on the approved pick-up list.
    • Parents/guardians please also be ready to show a photo ID.
    • If someone is picking up your camper and they’re not on the approved pick-up list, I ask that you send an email with the person’s full name, as well as ensure that person brings their photo ID to pick-up.
    • If this person is a regular to picking up your child, please add them to the approved pick-up list.

FOURTH: Preparing for Camp

Food

Ensure that your camper chooses to pack nourishing food that will hydrate, energize, and sustain them! We have busy schedules and the proper fueling is so important.

Packed Lunch

    • Always provide your camper with a packed lunch. Cold storage is not available for lunches.
    • No peanuts/tree nuts are allowed at camp. Alternatives such as sunbutter are recommended.
    • The Park District of Oak Park is nut-aware, and takes as many measures as possible to ensure that campers with and without nut allergies are at minimal risk for nut exposure.

Snack

    • Please send your camper with a few snacks, daily. We will eat snacks mid-morning (except for rink days where eating switches), but teens get hungry. If you know that’s your teen, check with them to make sure they’re packing enough food for themselves.

Gym Shoes

    • Please ensure that your camper is sent to camp in gym shoes. Our activities and games are active and require secure footwear.

Refillable Water Bottles

    • Please provide your camper with a refillable water bottle. It gets extremely hot during summer and we’ve planned a lot of games and activities taking place inside the facility and outside on the playground and field.

(Spray-on) Sunscreen

Scholarship and CDM Programs

The Park District offers a Scholarship Program for those in need of financial assistance. A Childcare Discount Membership Program is also available for all full-day camps. You must apply and get approval prior to registering for camp. Complete an application here.

ACA Accreditation

The Park District of Oak Park is proud that many of our camps are accredited by the American Camping Association (ACA). This nationally recognized program, developed exclusively for the camp industry, focuses on program quality, health and safety issues. It also requires us to review every facet of our day camp operations on an annual basis. We have voluntarily submitted to this independent audit by camp experts and have earned this mark of distinction.

 Staff to Camper Ratio

For ACA Accredited Camps is 1:6 for campers ages 3-5, 1:8 for campers ages 6-8, and 1:10 for campers ages 9-13. Campers must be within the camp’s age range by the first day of the session they are signed up for. Any registration submitted without a date of birth will be held until the date is verified. Parents or caregivers will be required to sign their children out of camp on a daily basis, unless we have written permission in advance for a child to go home on their own, in which case the child will sign themselves out of camp (only allowed for campers ages 10 and up).

Health & Emergency Information

Once you register your child for camp, you will be contacted to complete a health and emergency contact form which must be submitted prior to the start of camp.
